Contract management is a critical enterprise business process that can impact everything from revenue to risk. Agiloft CLM is a foundational step in automating processes, but simply having a CLM system in place isn't enough; to truly get the most out of your investment, you need engaged users who are committed to using the system to its fullest potential. This is also referred to as maximizing user adoption. Here are five practices of the most engaged CLM users:

1. Consistent use of the system: The most engaged CLM users are those who consistently use the system for all contracts, regardless of size or complexity. They also understand the importance of having a centralized repository for all contract data and are committed to keeping that data up to date.

2. Clear and concise contract templates: Engaged CLM users know that a well-designed contract template can make all the difference when it comes to efficiency and accuracy. They work with their legal teams to collaboratively create templates that are standardized, clear, concise, and easy to understand, which ensures consistency in representing a company’s stance on risk and also leads to greater efficiency and lower negotiation intensity.

3. Collaborative contract negotiation: The most engaged CLM users understand that contract negotiation is a collaborative process that requires input from multiple stakeholders. They use their CLM system to facilitate communication and collaboration between parties, helping to ensure that negotiations are efficient and productive.

4. Proactive contract management: Engaged CLM users don't just wait for contracts to expire or renew - they proactively manage their contracts throughout their lifecycle. They use their CLM system to set up automatic alerts for key dates and milestones, track contract performance, and identify opportunities to mitigate risk, lower cost, and maximize revenue.

5. Continuous improvement: Finally, the most engaged CLM users are always looking for ways to improve their processes and get more value from their CLM system. They regularly review their processes, solicit feedback from stakeholders, and look for opportunities to streamline workflows and optimize their use of the system. One way that Agiloft users can optimize their system use is through continued education and training. Agiloft University makes it easy to master critical CLM capabilities and widen your competitive advantage

By making user adoption and user engagement a key objective of your CLM program, you can help ensure that your CLM system is being used to its fullest potential, driving efficiency, reducing risk, and improving overall contracting performance.

Great post!  My biggest tip is to constantly get feedback from users to see how they are doing with Agiloft and what they need from Agiloft.  I try to do this with our larger departments, choosing a "power" user to contact, so that they can filter down any information to their colleagues.  Routinely touching base is a key way to keep your finger on the pulse of the user community.
