Building a Better Clause Library: Highlights from Our Latest Customer Workshop with Koho

At Agiloft, we're always looking for ways to bring our community together to share knowledge, tackle challenges, and spotlight real-world solutions. In our latest virtual customer workshop, we teamed up with our partner, Koho Consulting, to take a closer look at one of the most powerful yet sometimes underused tools in a CLM platform: the Clause Library. 

This informal session welcomed customers at all stages of their contract lifecycle management journey. With experts on hand, we set the stage for an open discussion around how to build, manage, and make the most of a Clause Library—and the result was a lively and insightful exchange of ideas, tips, and questions. 

Why the Clause Library Matters 

Koho’s Sr. Lead Designer and Arcitect, Alejandro Araujo kicked off the session with a walkthrough of the Clause Library’s capabilities and benefits. At its core, the Clause Library serves as a centralized repository for pre-approved legal language. It allows legal teams to pull consistent, vetted clauses into templates, negotiations, and redlines, streamlining contract creation and reducing risk. 

Key benefits include: 

  • Faster negotiations with easy clause insertion 

  • Risk reduction through use of standardized language 

  • Improved compliance via approval workflows 

  • Increased visibility into which clauses are used and when 

  • Automation opportunities, such as triggering notifications when a clause is modified by a counterparty 

Alejandro also shared tips for getting started: use the Contract Assistant to extract clauses from existing contracts or bulk import them from Excel. He emphasized the importance of tagging and categorizing clauses by type to make the library truly usable and searchable. 

AI Meets Contract Management 

We also explored how AI can take clause management even further. Alejandro shared how Agiloft’s AI capabilities can: 

  • Automatically extract clauses from documents 

  • Compare them to what's in your Clause Library 

  • Suggest compromise language when there's a mismatch 

  • Modify clauses to align with specific organizational standards 

These features not only speed up contract review, but also enhance consistency and compliance across the board. 

Addressing Common Challenges 

The conversation then shifted to practical questions from our customers. One hot topic: approval workflows. Sanket explained how to streamline the clause approval process by setting clause status defaults to "active," and discussed options for turning off approvals entirely if desired. 

Other topics included: 

  • Driving adoption: Incorporate the Clause Library into templates or the Contract Assistant to make it easy and useful. 

  • Managing lifecycle: Sunset old clauses by marking them "retired" rather than deleting them. 

  • Bulk updates: You can bulk upload clauses—but some HTML formatting may be required for consistency. 

While not all requested features—like auto-updating the library when templates change—are available today, our team is actively exploring future enhancements based on this valuable feedback. 

More Than a Tool—A Strategy 

What became clear throughout the session is that a Clause Library isn’t just a repository. It’s a strategic asset that, when used effectively, can transform the way organizations create, manage, and negotiate contracts.
